The Maintenance Engineer ensures that a facility remains in operating form. They are skilled in a variety of areas including plumbing, HVAC, and electrical systems. Duties include inspecting buildings, maintaining inventory, and scheduling repairs. Daily tasks will vary day-to-day based on work request and priority, but can frequently include repairs, aesthetic work, tending to the facility’s machinery, preventative maintenance schedules and cleaning of facilities grounds.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs Building Inspections on properties within designated portfolio.
  • Supports preparation of monthly/quarterly operations and mechanical reports. Prepares technical evaluations/deficiencies reports on existing mechanical equipment as well as life safety systems and components.
  • Plans schedule of workload in accordance with established priorities.
  • Ability to self-manage and operate independently.
  • Responds effectively to all emergencies during normal and after-hours.
  • Ability to maintain and operate HVAC equipment, Life Safety equipment and all other associated building equipment.
  • Maintains inventory/upkeep of all building equipment, tools, and material.
  • Attends periodic training seminars.
  • Assists in Preventive Maintenance Programs for all building equipment.
  • Assists with project management and oversight.
  • Maintains liaison with Lead/Chief Maintenance Engineer regarding work orders, job completion dates, priorities and estimates.
  • Furnishes the Lead/Chief Maintenance Engineer with information relative to criticality of buildings.
  • Makes recommendations for systems improvement through immediate supervisor or management.
  • Makes recommendations concerning Capital Budgets/Projects.
  • Performs additional job duties as requested.

EDUCATION & EXPERIENCE:

  • Required – High School Diploma or General Education Degree (GED).
  • Preferred – Some College or Technical School.
  • Preferred – Minimum of four (4) years training and experience in life safety, electrical, HVAC and refrigeration system operation, design application and maintenance.
  • Preferred – Ability to read and understand blueprints.

COMMUNICATION SKILLS:

  • Ability to communicate effectively, clearly, and professionally with tenants, vendors, management, and visitors.
  • Ability to communicate via email with proper punctuation and spelling.

The Ambulatory Surgery Center Compliance Manager will be a role that will lead and oversee the management and operations of Ambulatory Surgery Centers including maintenance, repair, vendors and contracts, and other facility related operations for our healthcare clients. In addition, the Ambulatory Surgery Center Compliance Manager will ensure continuous survey readiness and compliance with Environment of Care (EC) and Life Safety (LS) requirements and regulations from a variety of regulatory agencies, including the Centers for Medicare and Medicaid Services (CMS), The Joint Commission (TJC), National Fire Protection Association (NFPA), State Survey Agency (SA), and other Accrediting Organizations (AOs) for Ambulatory Surgery Centers (ASCs).

The Ambulatory Surgery Center Compliance Manager will apply sophisticated analysis and inductive reasoning skills to assess health care organizations' compliance with applicable standards, policies, and protocols, and to identify opportunities for improvement. The ideal candidate will have extensive expertise in property and/or facilities management within a healthcare setting, as well as extensive experience effectively communicating with clients, vendors, and co-workers. Exceptional leadership, problem-solving, and communication skills are also required.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Develops and maintains positive relationships with clients.
  • Manage and organize the operations of the facility including preventative maintenance and general upkeep, while maintaining compliance with all applicable codes, standards of government, and regulatory agencies.
  • Coordinates, oversees, and schedules inspections/repairs of maintenance work assignments performed by technicians, vendors and contractors performing Building Maintenance, Fire & Life Safety Inspections, HVAC Preventative Maintenance, Generator Preventive Maintenance, and Medical Equipment service.
  • Manages vendor relationships and train vendors on work order and billing procedures.
  • Responsible for work order review to ensure that assignments are completed.
  • Responsible for reviewing vendor inspection reports to ensure all deficiencies are corrected in a timely manner.
  • Responsible for invoice review and accuracy of cost related to work performed.
  • Performs building inspections of properties within designated portfolio.
  • Ability to self-manage and operate independently.
  • Learn, understand, retain, explain, and objectively apply Accreditation standards, NFPA Standards including continual updating and retraining regarding Life Safety, Environment of Care, and Emergency Management standards and technologies.

  • Maintains liaison with VP Managing Director of Engineering Department regarding work orders, job completion dates, priorities, and estimates.
  • Maintains and organizes the documentation related to Environment of Care & Life Safety inspections performed by clients and/or vendors, within the Life Safety Compliance Book.
  • Makes recommendations for systems improvement through immediate supervisor or management.
  • Demonstrated customer service skills, including interpersonal skills related to effectively interacting with internal and external customers, sometimes in sensitive situations.
  • Track operational savings by facility.
  • This is a management position and will require oversight of assigned Flagship Engineers. This position is remote but requires traveling to facilities on a quarterly basis and office visits when requested by supervisor.

DOCUMENTION MANAGEMENT:

  • Maintain and continuously improve the Environment of Care, Life Safety, and Emergency management plans ensuring compliance with regulatory standards and implementation at the ASC.
  • Maintain regulatory readiness documentation, ensuring the facility is in compliance with regulatory standards and that any inspection deficiencies are corrected with proper documentation filed.
  • Creating new Life Safety Compliance Books for new ASC locations.

 

EDUCATION & EXPERIENCE:

  • Required – High School Diploma or General Education Degree (GED).
  • Preferred - Bachelor's degree in related field.
  • Preferred - Eight years of hospital or medical properties experience in facilities management.
  • Preferred - Knowledge of Joint Commission Environment of Care standards including the Life Safety Code (NFPA101), the Health Care Facilities Code (NFPA 99), and other relevant NFPA standards and direct involvement with a minimum of two Joint Commission surveys.
  • Specialized knowledge of building systems, utility systems, and fire protection systems (smoke detection and sprinklers).

 

CERTIFICATES, LICENSURE, REGISTRATIONS:

  • Required – Clean/Valid driver’s license.
  • Preferred – Completed OSHA 30 or 10 Training or able to attain within one year of hire.
  • Certified Life Safety Specialist (CLSS-HC) for Health Care Facility Managers or able to attain within one year of hire.
  • Certified Healthcare Facility Manager (CHFM) or able to attain within one year of hire.

Flagship Healthcare Properties is a rapidly growing commercial real estate investment firm located in Charlotte, NC that specializes in the development, acquisition, management and leasing of healthcare real estate properties, with a concentration in the Southeastern United States.  Flagship has launched a private real estate investment trust (“REIT”) to consolidate and convert its legacy, closed-end investment funds.

The Accounts Payable Specialist will be responsible for processing invoices for all of the individual properties both within the REIT as well as the 3rd-party managed properties.  The AP Specialist is the primary point of contact with the firm’s A/P workflow system, currently Yardi Payscan/Elevate.  In addition, the AP Specialist will work closely with the property accounting and property management teams to ensure invoices are properly and timely routed through the system. 

Key Responsibilities

  • Process invoices in AP database system in correct workflow and code with correct GL account number and property information
  • Process weekly check runs through AP payment system and occasionally in-house
  • Collect new vendor W-9s and update whenever necessary for 1099 maintenance
  • Research and respond to vendor inquiries, statements, and balance discrepancies
  • Assist in the utility set up whenever the firm acquires or manages new properties
  • Assist with property-level 1099s at year-end
  • Track and process property real estate tax invoices
  • Support the property accounting and property management teams as needed with special projects and tasks

The Lease Analyst is responsible for ensuring the terms and conditions of all property leases are understood, documented and appropriately enforced.  The Lease Analyst will support FHP’s property managers and will report to the Lease Analyst Supervisor. This position is also responsible for maintaining a positive working relationship between the staff in all departments to assure satisfaction with FHP’s services.

Key Responsibilities:

  • Maintain master lease files and filing of all documentation.
  • Abstract leases into Yardi Voyager.
  • Assist with lease compliance and Lease terms.
  • Track critical lease dates following through to ensure all items have been addressed
  • Act as liaison between internal business units including accounting, leasing, asset and property management.
  • Monitor and communicate status of rent collections and delinquencies.
  • Perform manual rent escalation calculations for complex leases (including CPI adjustments).
  • Monitor, calculate and prepare rent increase letters for Property Managers’ signature.
  • Run monthly late fee report and send to Property Managers for review.
  • Post monthly late fees to tenant accounts.
  • Prepare and send monthly invoices/statements for every tenant.
  • Document tenant correspondence (emails, letters, calls, MRI, etc.).
  • Calculate annual CAM Budgets to estimate CAM income for each property, and send out estimate letters once approved by PM.
  • Calculate annual CAM Reconciliations and send to Property Managers to review and distribute.
  • Manual CAM Reconciliations being processed in Microsoft Excel (may be applicable).
  • Verify and document required tenant insurance coverage.
  • Process and review Rent and thorough review of monthly rent roll.
  • Security deposit administration including monthly security deposit review.
  • Assist with legal documents as necessary – Amendments, Estoppels, SNDA’s, etc.
  • Work with MRI and Yardi on any accounting issues.

The Assistant Facilities Manager - Director is a management/administrative position requiring customer service skills and a knowledge of facilities management responsibilities. The person in this position will have a strong skill set to assist and support the Facilities Manager in daily administrative tasks and projects as assigned. This is a remote position based in the Southeastern United States.

Key Responsibilities Will Include:

  • Developing effective working relationships with team members, client, and vendors to provide first class service and management of client’s properties
  • Assisting with setting up new vendors and tenants in technology systems
  • Ensuring contact information for both vendors and tenants is up to date at all times
  • Coordinating practice manager meetings in conjunction with FM
  • Assisting in conducting regular property visits (overnight travel may be required) and documenting tenant interactions in appropriate software

  • Following up weekly with the team on Work Orders

  • Supporting FM by monitoring new leases and lease changes in software programs
  • Reviewing, understanding, and enforcing lease contracts as well as reviewing, accurately coding, and approving invoices
