Accounts Payable Specialist (Charlotte, NC)

Flagship Healthcare Properties is a rapidly growing healthcare real estate firm committed to healthcare and headquartered in Charlotte, NC. Flagship provides its clients a full range of real estate services including investment and capital solutions; development; property sales, leasing, and marketing; and facilities, property, and asset management. Flagship operates an integrated platform, having developed over 1.6 million square feet, and currently manages more than 3 million square feet of healthcare real estate encompassing more than 100 properties. Flagship serves as the manager of its private REIT, Flagship Healthcare Trust.

The Accounts Payable Specialist will be responsible for processing invoices for all of the individual properties both within the REIT as well as the 3rd‐party managed properties and legacy, non‐REIT properties that are managed by the Company. The AP Specialist will be the primary point of contact with the firm’s A/P workflow system, currently AvidXchange. In addition, the A/P Specialist will work closely with the property accounting and property management teams to ensure invoices are properly and timely routed through the system.

Key Responsibilities

  • Review and submit invoices to appropriate accounting systems (MRI and Yardi)
  • Portal administration (adding/deleting users, properties, and vendors) for multiple invoicing systems
  • Review invoices for discrepancies and code according to approved cash budgets
  • Process weekly check runs
  • Run invoicing reports and journal entries
  • Thoroughly maintain A/P files and documentation
  • Collect new vendor W‐9s and update whenever necessary for 1099 maintenance
  • Respond to vendor inquiries, statements, and balance discrepancies
  • Assist in the utility set up whenever the firm acquires new properties
  • Process property‐level 1099s at year‐end
  • Track and process property real estate tax invoices
  • Support the property accounting and property management teams as needed with special projects and tasks

Research Intern (Charlotte, NC)

Flagship Healthcare Properties is hiring a summer Research Intern to support the firm’s growing real estate investment activities. Aggregating better data into actionable intelligence to inform our investment decision-making is a priority for the firm, and this role will provide an intern with a great experience at a rapidly-growing commercial real estate firm. The intern will also gain exposure to other facets of the firm’s operations, such as acquisitions, development, property and asset management, and brokerage. Based in Charlotte, NC, Flagship Healthcare Properties is a full-service medical real estate firm and has recently launched a private REIT.

Key Responsibilities

  • Performing resourceful, ad-hoc research assignments on various target markets
  • Establishing a database of key data points i.e. markets, population, economic factors, healthcare statistics, property inventory, etc.
  • Generating multiple reports, culminating in a capstone presentation to firm

An ideal candidate will demonstrate their ability to:

Lease Analyst (Charlotte, NC)

Flagship Healthcare Properties is a rapidly growing commercial real estate investment firm located in Charlotte, NC that specializes in the acquisition, development, management and leasing of medical office properties, primarily in the Southeast.  The Lease Analyst is responsible for ensuring the terms and conditions of all property leases are understood, documented and appropriately enforced. The Lease Analyst will support FHP’s property managers and will report to the Property Controller. This position is also responsible for maintaining a positive working relationship between the staff in all departments to assure satisfaction with FHP’s services.

Responsibilities

  • Maintain master lease files and filing of all documentation
  • Enter leases into MRI or Yardi
  • Assist with lease compliance
  • Track critical lease dates following through to ensure all items have been addressed
  • Act as liaison between internal business units including accounting, leasing, asset and property management
  • Monitor and communicate status of rent collections and delinquencies
  • Perform manual rent escalation calculations for complex leases (CPI)
  • Monitor, calculate and prepare rent increase letters for Property Managers’ signature
  • Run monthly late fee report and send to Property Managers for review
  • Post monthly late fees to tenant accounts
    Prepare and send monthly invoices/statements for every tenant
  • Document tenant correspondence (emails, letters, calls, MRI, etc.)
  • Assist in annual operating budgets process to estimate CAM income for each property
  • Prepare annual CAM reconciliations and send to Property Managers to review and distribute
  • Verify and document required tenant insurance coverage
  • Handle rent up and thorough review of monthly rent roll
  • Security deposit administration including monthly security deposit review
  • Assist with legal documents as necessary – Amendments, Estoppels, SNDA’s, etc.
  • Work with MRI and Yardi on any accounting issues

Part-Time Property Administrator (Mooresville, NC)

Flagship Healthcare Properties is a rapidly growing commercial real estate investment firm located in Charlotte, NC that specializes in the acquisition, development, management and leasing of medical office properties, primarily in the Southeast.  The Property Administrator is a part-time position that supports the firm’s Property Manager located in Mooresville, NC. This is an administrative role requiring customer service skills and a knowledge of property management responsibilities.

Responsibilities

Billing/Accounting/Communication with tenants

  • Assisting with delinquencies, per direction of PM (running statements and forwarding)
  • Drafting tenant notification letters as follows under PM review & signature:
    • Delinquency Notices – if needed
    • Rent Increase Letters
    • Hold-Over Notices
    • Other correspondence as assigned
  • Work with Lease Administrator (LA) on tenant billing questions and respond back to tenant
  • Assist as needed or coordinate with accounting/LA on tenant bill backs
  • Communicate with tenants on billing issues as follows:
    • Check being made out to wrong entity
    • Notify tenant to email accountant when ACH is made monthly
    • Notify tenant on change of address requirements per lease
  • Run MRI & Yardi reports as needed by PM
  • Forward invoices received in office to Avid
  • Certificates of Insurance – follow up with LA/Property Services on compliance
  • Prepare welcome letters to new tenants under PM signature
  • New tenant – coordinate with Lease Administrator on invoicing needs
  • Forward/follow up with tenants who are paying tax bills directly – monitor for compliance
  • Assist with electrical/water sub-metering and coordinate billing with LA/Accounting
  • Track TI allowances
  • Assist with tenant notifications through Building Engines on scheduled maintenance/work/inspections

Vendors/Service Providers

  • Service Contract – converting to standard form and managing renewal of contracts
  • Assist in bidding out contracts and services – per management agreement
  • Respond to vendor requesting status of payments
  • Assist in scheduling building meetings with vendors and tenants
  • Request W-9’s as needed

Misc. Projects

  • Assisting with Estoppels & SNDA collection efforts
  • Assist with set up and planning tenant appreciation events/practice manager meetings

Travel Assistance

  • Travel arrangement assistance – flights/hotels/car rentals
  • Assist w/email responses at direction of PM
  • Act as point of contact during vacations/time out of office

New Property Assistance

  • Assist with data collection
  • Download and label photos
  • Work with AP for utility set-up – monitor
  • Other projects as assigned
