General Overview

Flagship Healthcare Properties is a rapidly growing commercial real estate investment firm located in Charlotte, NC that specializes in the development, acquisition, management and leasing of healthcare real estate properties, with a concentration in the Southeastern United States.  Flagship has launched a private real estate investment trust (“REIT”) to consolidate and convert its legacy, closed-end investment funds.

The Accounts Payable Specialist will be responsible for processing invoices for all the individual properties both within the REIT as well as the 3rd-party managed properties.  The AP Specialist is the primary point of contact with the firm’s A/P workflow system, currently Yardi PayScan.  In addition, the AP Specialist will work closely with the property accounting and property management teams to ensure invoices are properly and timely routed through the system. 

Key Responsibilities

  • Process invoices in AP database system (AVID) in correct workflow and code with correct GL account number and property information
  • Process weekly check runs through AP payment system (Yardi Bill Pay) and occasionally in-house
  • Collect new vendor W-9s and update whenever necessary for 1099 maintenance
  • Research and respond to vendor inquiries, statements, and balance discrepancies
  • Assist in the utility set up whenever the firm acquires or manages new properties
  • Manage utility portals by downloading invoices timely
  • Assist with property-level 1099s at year-end
  • Track and process property real estate tax invoices
  • Support the property accounting team, property management team and AP Supervisor as needed with special projects and tasks

The Ideal Candidate Will Possess:

  • 3+ years Accounts Payable experience. Experience working for a property management firm is a plus
  • Experience with setting up utilities and monitoring the payment process for utilities is preferred
  • High school diploma required, with college courses in accounting  preferred
  • Proficient in Microsoft Office Suite with an advanced level of skill in Excel
  • The ability to think and work both independently and in a team environment
  • Use critical thinking to prioritize tasks and to multi-task
  • Attention to detail and self-motivation is very important
  • Excellent written and verbal communication skills, problem solving abilities, organizational and analytical skills
  • Experience with MRI and Yardi Commercial Real Estate Accounting systems is preferred
  • Experience with an invoice workflow system such as Yardi PayScan, AvidXchange or Concur is preferred

Flagship Healthcare Properties is a rapidly growing commercial real estate investment firm located in Charlotte, NC that specializes in the acquisition, development, management and leasing of medical office properties, primarily in the Southeast. The Corporate Accountantrole provides support to the company and executive team’s accounting needs. The ideal candidate for this position is a reliable and skilled accountant and multi-tasker who is organized, trustworthy and maintains a positive attitude.

Responsibilities:

  • Creates monthly import templates for management fee billings. Submits invoices to various AP systems for processing based on customer.
  • Prismatic maintenance system billing monthly including submission of 3rd party client invoices
  • Special project accounting for various other entities that are maintained in QuickBooks.
  • Assists in managing day-to-day corporate accounting and finance requirements including:
  • Posts all daily ACH and check receipts
  • Manages AR Aging monthly following up with internal team members and 3rd party clients
  • Manage AP process using Concur Invoice software including:
  • Creating and maintaining vendor records
  • Posting and coding all vendor invoices for processing
  • Manage weekly AP payments via Concur ACH payments or check processing via Intacct
  • Set up corporate credit accounts
  • Prepare bank deposits
  • Record journal entries
  • Track bank account balances and reconcile daily
  • Maintain various monthly G/L account reconciliations
  • Reconciles Corporate American Express account monthly
  • Reconciles Flexible Spending Account annually
  • Maintains various quarterly expense tracking allocations and creates quarterly imports for customer billbacks
  • Prepares monthly NC Sales Tax filing
  • Prepares 1099s for FHP Intacct vendors and QuickBooks vendors using Tax Bandit software
  • Review and process maintenance department Concur Expense reports monthly
  • Set up new employees in Concur and Intacct
  • Assist with new employee training on Concur Expense and assist employees as needed
  • Other special projects as needed

Desired Skills and Experience:

  • Bachelor’s Degree preferred
  • Minimum 3 years of related work experience
  • Must be proficient in Sage Intacct, Concur Invoice and Expense and Microsoft Office with strong emphasis in Excel. Exposure to QuickBooks preferred.
  • Strong grasp of general accounting principles
  • The ability to multi-task and prioritize projects
  • High degree of accuracy and attention to detail
  • Excellent written and verbal communication skills, problem solving abilities
  • Confidentiality and excellent organizational skills
  • Positive attitude
